Objective: Master the Workday interface to efficiently manage your inbox, track notifications, and navigate key tasks without getting lost.
Prerequisites: None. This applies to all Workday users.
1. My Tasks (Your Inbox) 📥
Think of this as your "To-Do" list. If it’s here, it requires your action.
Access: Click the My Tasks (inbox) icon in the top right corner of your home page.
All Items: The default view showing pending tasks (e.g., time approvals, inbox actions).
Archive: This tab acts as your personal "sent" folder. It stores a history of every task you have acted on for the past 90 days. Use this to check the status of something you’ve already approved.
Delegations: If you are out of the office, you can use the Manage Delegations option here to assign your inbox tasks to a colleague temporarily.
2. Notifications 🔔
Think of this as your "FYI" feed.
Access: Click the Bell icon next to your inbox.
Purpose: These are automated alerts for awareness only. They do not require direct action. Examples include status updates on processes you are involved in but don't need to approve.
3. Common Workday Icons 🛠️
You will see these buttons repeatedly across different screens. Knowing them is half the battle.
| Icon | Name | Function |
| ✏️ | Pencil | Edit. Opens a specific section or field for you to make changes. |
| ✔️ | Checkmark | Save. Closes an editing section and saves your changes locally on the page. |
| ⬅️ | Workday Back Arrow | Undo/Back. Takes you back one step in the Workday application. Important: Always use this arrow, not your browser's back button, to avoid losing data. |
| ≣ | Prompt | Search. Opens a menu or search bar to select options (e.g., choosing a Project or Time Type). |
| 🧱/⋯ | Related Actions | More Options. Often looks like a "brick" or three dots next to a name. Click this to see a menu of additional actions you can take on that specific object (e.g., viewing a worker's profile). |
| ✳️ | Red Asterisk | Required. You cannot submit the page until this field is filled. |
